Who this covers
This policy covers the Synapse TBI Diagnostics (“Synapse TBI”) staff portal and its staff support text line. The portal is used by our employees and by people we work with who have an account. It is not a public service and does not take sign-ups from the public.
What we collect
- Account details: your name, work email, role and, if you choose, your mobile number.
- What you do in the portal: sign-ins and the actions you take, kept as a security record.
- Texts you send to our staff support number: your mobile number and the text of your message.
How we use it
- To run the portal, keep it secure and keep the records the law requires.
- To turn a text you send into a support request and reply about that request.
Text messages
We do not sell, rent or share your mobile number or text messaging consent with third parties or affiliates for marketing or promotional purposes. Texts go through our messaging provider (Amazon Web Services) only to deliver them. Texts from a number not saved on an account are not stored. You can stop texts at any time by replying STOP. Health information
Patient health information in the portal is protected under HIPAA and our HIPAA policies, and is only available to people whose job needs it. Please never put patient names or health details in a text message.
How we protect it
Data is encrypted in transit and at rest, access requires a password and a second sign-in step, and access is logged.
How long we keep it
We keep records as long as needed to run the portal and as long as the law requires, then delete them.
